Job Description

Executive Assistant/Transaction Coordinator

The Valley Homes Team & REI Agent is seeking a highly organized and motivated Executive Assistant/Transaction Coordinator to join our growing team.

About the Role:

In this role, you will be responsible for managing the day-to-day operations of our real estate business, supporting our team leader, and ensuring smooth transaction workflows. You will also play a key role in coordinating marketing efforts, managing user accounts, and providing administrative support.

Responsibilities:

  • Manage real estate transaction workflows and coordinate podcast recordings.
  • Draft and deliver email campaigns, coordinate marketing initiatives, and support property management tasks.
  • Provide administrative support, including calendar management, scheduling appointments, and taking meeting notes.
  • Manage user accounts, monitor lead assignments, and maintain workflow accuracy within GoHighLevel.
  • Assist with real estate acquisitions and property management operations.

Qualifications:

  • 2+ years of experience as an Executive Assistant, Marketing Coordinator, or Virtual Assistant.
  • Fluent in English (written and spoken); Spanish fluency is a plus.
  • Proficiency in Canva, G-Suite, and project/task management tools.
  • Familiarity with GoHighLevel and the ability to create and manage workflows.
  • Strong attention to detail, problem-solving skills, and excellent written and verbal communication skills.

Compensation:

$1,500-$2,000 USD per month, commensurate with experience.

  • Tech Savvy: Proficiency in Canva, Google Suite, and project/task management tools is required. Experience with GoHighLevel and workflow management is highly desirable.
  • Organizational Skills: Demonstrated ability to manage multiple tasks, prioritize effectively, and maintain accuracy in a dynamic setting.
  • Problem-Solving Aptitude: Resourcefulness and a proactive approach to identifying and resolving issues.

Administrative Support

  • Manage and coordinate all aspects of real estate transactions, ensuring smooth and timely completion.
  • Schedule and coordinate podcast recordings, including guest communication and logistics.
  • Draft and send email campaigns, manage social media content, and assist with marketing initiatives.
  • Provide comprehensive administrative support to the team, including calendar management, travel arrangements, and meeting preparation.

Technology & Workflow Management

  • Maintain and update user accounts within GoHighLevel, ensuring accurate lead assignments and workflow processes.
  • Monitor and optimize GoHighLevel workflows to enhance efficiency and productivity.
  • Utilize Canva and G-Suite to create visually appealing marketing materials and manage team communication.

Real Estate Operations

  • Assist with real estate acquisitions, including property research, due diligence, and contract preparation.
  • Provide support for property management tasks, such as tenant communication, lease renewals, and maintenance coordination.

Selection Process

The Valley Homes Team & REI Agent seeks a highly organized and detail-oriented Executive Assistant/Transaction Coordinator.
