Job Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to our Go-To-Market leadership team. This role will serve as a vital partner to Sales, Marketing, and Customer Success, acting as a key liaison to the Office of the CEO. This is a unique opportunity to contribute to the success of a dynamic, high-impact team driving the company's growth.

Key Responsibilities

  • Manage complex calendars for multiple GTM leaders, ensuring efficient scheduling and prioritization.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Prepare meeting agendas, materials, and presentations, ensuring accuracy and timeliness.
  • Process expense reports and maintain accurate financial records.
  • Handle confidential information with discretion and professionalism.
  • Proactively anticipate needs and provide solutions to support team efficiency.

Qualifications

Required:

  • 5+ years of experience providing executive-level administrative support in a fast-paced environment.
  • Proven ability to manage complex calendars, prioritize competing demands, and anticipate needs.
  • Excellent written and verbal communication skills with the ability to interact professionally with all levels of an organization.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred:

  • Experience supporting a Go-To-Market leadership team in a technology company.
  • Familiarity with CRM and marketing automation tools.
  • Bachelor's degree in Business Administration or a related field.

Administrative Support

  • Manage complex calendars for multiple Go-To-Market leaders, ensuring efficient scheduling and prioritization of meetings and appointments.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation, adhering to company policies and budget constraints.
  • Prepare meeting agendas, materials, and presentations, ensuring accuracy and completeness of information.
  • Process expense reports and invoices promptly and accurately, adhering to company procedures.

Communication and Coordination

  • Act as a primary point of contact for internal and external stakeholders, responding to inquiries and requests in a timely and professional manner.
  • Draft and edit correspondence, including emails, letters, and presentations, ensuring clear and concise communication.
  • Coordinate with cross-functional teams to ensure seamless project execution and information flow.
  • Maintain confidentiality of sensitive information and handle all matters with discretion.

Office Management

  • Provide general administrative support to the Go-To-Market team, including filing, photocopying, and other office tasks.
  • Assist with onboarding new team members, providing necessary resources and information.
  • Proactively identify opportunities to improve office efficiency and streamline processes.

Selection Process

Typeface seeks a meticulous Executive Assistant to support its Go-To-Market leadership team. Interested candidates will submit their resumes and cover letters through the Typeface careers portal. A screening process will review applications for relevant experience and qualifications. Shortlisted candidates will be invited for a phone interview to assess their communication skills and organizational abilities.

Successful phone interview candidates will then participate in a virtual interview with the hiring manager and team members. This interview will delve deeper into their experience, problem-solving skills, and cultural fit within Typeface. Finalists may be invited for an in-person meeting to complete the selection process.
