Role Summary

This is not your typical assistant role. You will be a strategic partner and hands-on operator, acting as a right-hand to the CEO. You will manage execution, prioritize initiatives, coordinate teams, and ensure seamless operations. AI will be your key tool, enabling you to manage a shared "second brain" (Notion, ClickUp, ChatGPT workflows) for all notes and tasks.

Key Responsibilities

• Project Management: Track all company initiatives, deadlines, and deliverables, ensuring projects stay on track and within scope.
• Operations: Handle scheduling, communications, reporting, and vendor/client follow-ups, ensuring smooth day-to-day operations.
• Marketing & Content: Oversee social media posts, newsletters, and content calendars, leveraging AI for drafting support.
• Execution: Transform raw ideas, notes, and voice memos into structured tasks, briefs, and actionable outputs.
• AI Integration: Manage and refine AI workflows, utilizing tools like ChatGPT, Notion AI, and Jasper to optimize processes.
• Proxy Role: Prioritize critical information, filter noise, and act as the first point of contact for decisions, ensuring the CEO's focus remains on high-level strategy.

Ideal Candidate

• Proven experience in operations, project management, or marketing, with a Chief of Staff background being a plus.
• Comfortable and proficient in using AI tools daily.
• Highly organized, an excellent communicator, and a proactive problem solver.
• Thrives in a fast-paced, entrepreneurial environment.
• Able to work overlapping hours with Asia and North America.

Qualifications

Required:

• Experience: 3+ years of proven experience in operations, project management, marketing, or a similar role. Experience as a Chief of Staff is a strong asset.
• AI Proficiency: Demonstrated comfort and proficiency using AI tools such as ChatGPT, Notion AI, Jasper, or similar platforms for daily tasks.
• Organizational Skills: Exceptional organizational skills with a meticulous attention to detail and the ability to manage multiple projects simultaneously.
• Communication: Excellent written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders.
• Problem Solving: A proactive and resourceful problem solver with the ability to identify and address challenges efficiently.
• Adaptability: Thrives in a fast-paced, dynamic environment and can adapt to changing priorities.
• Availability: Flexibility to work overlapping hours with Asia and North America.

Preferred:

• Experience working in a startup or entrepreneurial environment.
• Familiarity with project management software (e.g., ClickUp, Asana).
• Experience with content creation and social media management.

Project Management

• Maintain comprehensive tracking of all company initiatives, ensuring adherence to deadlines and deliverables.

Operations

• Manage CEO's schedule, communications, and reporting.
• Handle follow-ups with vendors and clients.

Marketing & Content

• Oversee the creation and scheduling of social media posts and newsletters.
• Develop and maintain content calendars, leveraging AI tools for drafting support.

Execution
